Overview

This Executive Assistant position fulfills a critical role within the organization and is closely involved in the daily priorities of the leadership team as a whole. This role requires strong will, impeccable communication skills, and a willingness to provide efficient and effective challenge when necessary, follow up, and follow through.

 

The role of the Executive Assistant is to enhance the president’s effectiveness in the organization through time management, information management support and consistent processes. Your Responsibilities Include

  • Maintain a deep understanding of priorities in order to allocate the president’s time and resources appropriately
  • Manage the president’s workflow and priorities
  • Anticipate upcoming needs and requirements and be proactive in all facets
  • Manage calendars, research meeting attendees, assemble meeting agenda, and record meeting minutes
  • Document meeting outcomes, determine necessary follow-up, assemble follow-up team, hold President and team accountable to follow-up action
  • Track ongoing projects and their status; serve as liaison on behalf of the president
  • Book and coordinate travel, itineraries, and logistics
  • Work organically with all business units across the organization ensuring harmony, cohesion and communication
  • Coordinate with internal and external stakeholders, providing prompt and customer-focused service
  • Process invoice payments and expense report
  • Ad-hoc projects and office management work as assigned  

Knowledge and Skills You Bring the Organization

  • Minimum of 5-7 years of professional experience working with a C-Suite member and management team with highly demanding schedules.
  • High school diploma or higher level of education (Bachelor’s preferred)
  • Be dynamic with a sense of diplomacy, firmness, gentleness and pushiness in order to accomplish the goal
  • Unparalleled attention to detail and an aggressive drive to take initiative, with the professionalism to interact with employees at all levels of the organization
  • A clear understanding of and excitement for Stand Together’s mission
  • Ability to think strategically about the principal’s time as an allocation of resources
  • Demonstrated high-level of confidentiality, sense of judgment, ability to improvise and creatively problem-solve while maintaining composure
  • Extremely organized, self-disciplined and professional in demeanor
  • Articulate and concise oral and written communication skills
  • Proficiency with Microsoft Office: Word, Excel, Outlook (including expertise with Outlook’s calendar function), and PowerPoint
